Defining States

When pressing the 'Add' or 'Edit' button in the Workflow tab, the Define State dialog appears:

   

State Name – Enter name of the state
System Abbr – Abbreviation used by CS-RCS when marking files' states. You may type alphanumeric characters and limited punctuations, for example, you may use the underscore character. If left empty, this field will be filled in automatically.
Display Color – Color in which this state will appear in the task list.
Description – State description to be used in reports. (Optional field.).
Group Assignments – Define which actions will be accessible for each group. Press 'Add' to add a new group, 'Delete' to remove an existing group and 'Members' to view and change the members of a group.

The actions available to each group are:
·View – View changes with this state. This option is set automatically whenever another option is set. Set this option and clear all other options if you wish to grant read-only access for the group.  
·Promote – Permit group members to promote change to next state.  
·Demote – Permit group members to demote change to previous state.  
·Notify – Send email notifications to group members when the current state is applied to a change.  
·Set States – Permit group members to change to any state.  
·Undo – Permit group members to undo and redo changes.  
 
Normally, the last two actions should be selected for project administrators group only.

Report - Create a State Permission Report. This option is only available when editing already defined states.
